Meeting & Conference Room Policy

  • Eligibility: Meeting/Conference Room bookings are available to all the Member Companies. External guests may also book it upon request and payment.
  • Booking Process: Meeting/Conference Room can be reserved by using our online booking system at www.app.workspacebyemlen.com subject to availability on FIRST-COME-FIRST-SERVE basis. To avoid last minute hassle and have better chance of availability we recommend booking atleast 24 hours in advance. You can block access in advance within next 15 days.
  • Limit: Meeting/Conference Room can be booked with 30/60/120 minute slots. You can book multiple slots in prior in case of longer usage, kindly get in touch with the Premises’ supervisor or admin for confirmation.
  • Cancellation: Your booking can only be canceled before 90 mins of the start time 
  • Hogging: If you find someone else occupying the meeting/conference room in your reserved slot, kindly reach out to the Premises’ supervisor or admin for assistance.
  • Trespassing: Usage of the Meeting/Conference Room without booking may result in temporary or permanent suspension of usage privileges.
  • External Guests: If you plan to bring external guests to the meeting/conference room, add your guest while doing online booking. You will be responsible for their conduct and adherence to all our terms and policies.
  • Access: The conference room can be accessed between 9:30am to 8:30pm from Mon to Sat.
  • Timeliness: Please arrive on time for your reservation. If you are more than 15 minutes late, your reservation may be forfeited, and the room may be allocated to another Member or Guest.
  • Setup/Arrangement: Do not move or rearrange the arrangement by yourself. If you require a specific room setup, please notify the supervisor/admin atleast 60 mins in prior which may be accepted if deemed fit.
  • Cleanliness: Leave the meeting/conference room in the neat and tidy condition. Dispose of any trash properly and ensure that whiteboards and screens are clean after use.
  • Technology Usage: If you use any technology in the meeting/conference room, such as TV or Projector or Video conferencing equipment, make sure to turn it off after use.
  • Noise Levels: Keep noise levels to the minimum to ensure a productive environment for all members.
  • Smoking and Eatables are NOT allowed inside the meeting/conference room.
  • Security: The Member/Members using the meeting/conference room are responsible for the security of their belongings.
  • Violations: Failure to adhere to the Meeting/Conference Room Policy may result in temporary or permanent suspension of conference room booking privileges.
